Allow non-Jira (email-only) users to participate and be notified

Scenario

Users without a Jira user account are sending emails to JEMHC to create or update issues. Optionally, you may want these users need to be notified of events for issues they are involved with.

Enabling issue participation for non-jira users

Custom field setup

In order for non-jira users to participate in issues via email, their email addresses need to be present on the issue in one or more custom fields. When JEMH Cloud is installed, it also adds 3 custom fields to the system. These are:

  • Email Sender Name

  • Email Sender Address

  • Email Participants

These can be used, or you can create and use your own.

If you decide to use your own custom fields, ensure that:

  • the fields are visible on the create and edit screens for the project

  • the fields are not used for any other purpose in order to avoid conflicts/errors

  • the custom field type is Text (Single line) for Email Sender Address and Email Sender Name settings

  • the custom field type is Text (Multiline) for Email Participants setting

Configure profile to add non-Jira sender to custom fields

Navigate to Profiles > Project Mappings > Email only users section and configure the same created custom fields.

After saving, JEMH Cloud will now check if email sender's (Non-Jira Users) email address exists in the configured fields. If their address is found in the configured custom field(s), then they are allowed to comment on the issue.

Enabling notifications for non-jira users

Navigate to Notifications > Email and edit corresponding project mapping. Under Audience the Audience Address Custom Fields: field needs to be assigned with the same configured custom fields, as per example:
